Scheduling
Put rehearsals, performances and meetings on the calendar. Owners, admins and staff can schedule anything; anyone with Can edit on a show can schedule that show.
Add an event
- On the show’s Schedule tab, or on the Calendar, click New event.
- Fill in the Title, and a Description and Location if you like.
- Set when it Starts, its Start time and, if you know it, its End time. For a whole-day event, tick All-day event.
- Choose the Project it belongs to and Who can see this? (see below).
- Click Create event.
Repeat it
- Under Repeats, pick Daily, Weekly or Monthly, and how often: Every week, every two weeks, and so on. Weekly lets you tick the days of the week. Monthly asks whether it’s the same date each month or the same weekday, like the 3rd Wednesday.
- Under Ends, choose After… a number of occurrences, or On date….
Who can see this?
Public — anyone, including patrons: also listed on your theater’s public page. Use it for performances.
Whole organization: every member.
Project team only: the show’s cast and crew. If you have Can edit but aren’t an owner, admin or staff member, your new events are always Project team only, and you can’t change who sees an event when you edit it. An owner, admin or staff member can widen them later.
Specific roles: only the roles you tick, such as the board.
Change, copy or delete an event
- Open the event and click Edit. Change it and click Save. If you moved the date, time or place, the team is notified.
- Duplicate event makes a copy to edit, handy for a one-off rehearsal like the last one.
- Delete this event removes just this one.
Editing a repeating event changes only the one you opened. Delete entire series removes every event in the series, past ones included, and can’t be undone.
Next: who's called
Once an event is on the calendar, choose who needs to be there. See Call lists.
