Creating a project

A project is anything with its own team and schedule: a show, a cabaret, a fundraiser, a camp or a class. Your theater's owners, admins and staff can create and edit projects.

Create one

  1. Click Projects in the menu, then New project.
  2. Give it a Title, pick a Type and a color. The color marks its events on the calendar.
  3. Set the Start date (optional) to opening night and the End date (optional) to closing night. For a one-night event, set only the start date. Not scheduled yet? Leave both blank.
  4. Click Create project.

Why opening night?

The dates are the run of the show, not the rehearsal period. Rehearsals go on the schedule as events. The end date also sets how long the cast can add photos: until about two weeks after closing.

Edit it later

  1. Open the project and click Edit.
  2. Change what you need, including the Status: Planning, Active or Archived. Click Save.
  3. Under Email replies, you can give the show its own reply-to address, such as the director’s. Enter it and click Send confirmation, then click the link in that inbox within a day. Anyone with Can edit on the show can set this too: on the show’s page, they click Email replies.

When the show is over

Set the status to Archived. It drops off the projects list but keeps everything. Tick Show archived projects on the list to find it again.

Deleting a project can’t be undone. Its events, team, roles and auditions go with it. To delete, click Delete this project at the bottom of the Edit page, then Delete project. Archiving is usually what you want.
