Casting and regrets

Offer parts, record the answers, and let everyone else know. All of this is on the audition's Casting tab.

Offer a part

  1. Find the role and click + Offer.
  2. Click the person’s name. For a role many people share, tick everyone, then click Offer to 3 people (with your number). Anyone who booked a time can be offered a part, not just callbacks.
  3. Nothing is emailed yet, so you can line up every offer first.

Send the offers

  1. Click Send offer on one row, or Send 5 unsent offers (with your number) at the top to send them all.
  2. Write a Message, and add an Ask for a reply by date if you like.
  3. Click Send offer (or Send 5 offers). Each person gets an email with a link to accept or decline.
Sent offers can’t be unsent. Sending also gives each person a new link, so links in their earlier emails stop working. Someone without an email shows No email on file: contact them yourself.

Get the answers

  1. When someone accepts or declines on their own, owners, admins and anyone with Can edit on the show get a notification. Staff running the audition don’t, unless they also have Can edit on the show.
  2. Heard by phone or in person? Click They accepted or They declined, and Add note if useful.
  3. Changed your mind before they answered? Withdraw the offer.

When someone accepts

They’re added to the show’s team and get a welcome email. If they don’t have a Ghostlight account yet, the email invites them, and they join the show when they sign in.

Once a one-person role is offered, its + Offer button goes away, so it can’t be double-booked. A role someone already holds from the Team tab or another audition shows Already cast.

Send regrets

  1. At the bottom of the Casting tab, click Send regrets to 12 people (with your number). It lists everyone without an offer who has an email.
  2. Untick anyone to leave out, and edit the Message.
  3. Click Send to 12 people, then confirm with Send regrets.
Regrets can’t be recalled. Send them only once casting is settled.
