Setting up an audition
Create the audition, choose what to ask, add time slots, and open it for sign-ups. Your theater's owners, admins and staff, and anyone with Can edit on the show, can do this.
Create it
- Open the show. On its Overview tab, under Auditions, click New audition.
- Give it a Title, and a Location and What to prepare if you like.
- Already have the audition on the calendar? Pick it under Link an existing event (optional).
- Click Create audition. It starts as a Draft that only your team can see.
Pick the title carefully
The title becomes the audition’s web address, and the address doesn’t change if you rename it later.
Choose what to ask
- On the Setup tab, under What to ask at sign-up, set each question to Don’t ask, Optional or Required: phone, age or grade, roles they’re interested in, conflicts, a headshot, a resume, and more.
- Need something else? + Add a question adds up to three of your own.
- Tick Show who has signed up to list sign-ups publicly, by first name and last initial.
- Click Save. Name, email and pronouns are always asked.
Add time slots
- Under Audition times, click Add times.
- Pick the date and the From and To times, then Minutes each and People per time. Ghostlight splits the block into slots and shows how many it will add.
- To remove a slot, click Delete on it, then Delete time. Move anyone booked into it first.
Open it for sign-ups
- Under Who can see this audition, choose Open for sign-ups and click Save.
- The first time you open it, leave Add this to the calendar ticked to put each audition day on your theater’s public calendar. (You won’t see it if you linked an existing event.)
- Click View public page → and share that link. The audition is also listed on your theater’s public page.
Deleting an audition
At the bottom of the Setup tab, click Delete this audition. Its times, sign-ups, panel grades, casting offers and calendar days are deleted with it, and people who signed up are not told. Anyone you already cast stays on the show’s team. To stop new sign-ups but keep the record, choose Closed instead.
When sign-ups close
Each time slot closes when it starts. With no closing date under Sign-up window, sign-ups stay open until the last slot starts. Set Closes to stop them sooner, or choose Closed at any time.
Headshots and resumes are deleted 90 days after the audition, except the headshot of anyone you cast. Export CSV downloads the sign-ups and their answers.
